Privacy Policy

Retain Property Pty Ltd (“Retain Property”, “we”, “our”) operates the Retain Property browser extension and the website at retainproperty.com.au. This policy explains what personal information we collect when you use the extension or website, why we collect it, and your rights in relation to it.

We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. If you have questions about this policy, contact luke@retainproperty.com.au.

1. What the extension does

The Retain Property browser extension overlays a panel on property listings at realestate.com.au and domain.com.au. When you click Run Due Diligence Check, the extension sends the property’s address, suburb, state, property type and listing price to our backend, which retrieves due-diligence data (flood and bushfire overlays, demographic indicators, suburb market metrics, affordability and yield) and displays it in the panel.

2. Information we collect

2.1 Information you provide when signing up

  • Full name
  • Email address
  • Phone number
  • Self-described role (buyer’s agent, real-estate agent, investor, or other)

2.2 Information collected automatically when you use the extension

  • Property context for each due-diligence check. When you click “Run Due Diligence Check”, we record the property address, suburb, state, property type, listing price and listing URL. This is logged against your licence so we can enforce daily quotas and so you can review your own check history.
  • Licence key. A randomly-generated identifier stored in your browser’s synced storage that authenticates your requests to our backend.
  • Per-listing overrides you enter. If you type your own valuation or weekly rent into the panel, that value is stored locally in your browser (not on our servers) so it persists across page reloads.

2.3 Information we do NOT collect

  • Your browsing history outside realestate.com.au, domain.com.au, or retainproperty.com.au.
  • Your keystrokes, form inputs, or contents of any page other than the property fields described above.
  • Passwords, payment details, or any data from your other browser tabs.
  • Sensitive personal information as defined by the Privacy Act (health, race, religion, political views, etc.).

3. How we use your information

  • To provide due-diligence data on the properties you check.
  • To enforce daily-usage quotas on your licence.
  • To contact you about your licence (activation, expiry, plan changes) and, with your consent at signup, about Retain Property’s buyers-agency services.
  • To improve the extension based on aggregate usage patterns.

We do not sell your personal information. We do not use it for advertising profiling.

4. Who has access to your information

Your information is processed by:

  • Retain Property — principal operator and data controller.
  • Supabase Inc. — database and serverless function hosting (Asia Pacific region).
  • HTAG Analytics — provides the property due-diligence data displayed in the extension. When you run a check, the property address is forwarded to HTAG.
  • GoHighLevel — lead-management platform we use for sign-up, SMS, and email automation.
  • Resend Inc. — transactional email delivery for activation links. Used only when you opt in to email communications.

We do not share your personal information with any other third party except where required by Australian law.

5. Where your information is stored

Personal information is stored in our Supabase database, hosted in the Asia Pacific (Tokyo) region. Some service providers above process data outside Australia (primarily in the United States). By using the extension you consent to this cross-border transfer. We take reasonable steps to ensure overseas recipients handle your information consistent with the Australian Privacy Principles.

6. How long we keep your information

  • Active licences: retained while your licence is active plus 12 months after expiry.
  • Due-diligence check logs: retained for 24 months for analytics and quota enforcement, then deleted.
  • Revoked licences: deleted within 90 days of revocation, except where Australian tax or accounting law requires retention.

7. Your rights

Under the Australian Privacy Principles, you have the right to:

  • Access your personal information.
  • Correct inaccurate information.
  • Request deletion of your information (we will delete it within 30 days, subject to legal retention obligations).
  • Withdraw consent for marketing communications at any time.
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

8. Security

We use industry-standard security practices to protect your information, including TLS encryption in transit, encrypted storage at rest, and strict access controls on our systems. However, no internet transmission or electronic storage is completely secure; we cannot guarantee absolute security.

9. Children

The extension is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

10. Browser permissions explained

The Chrome Web Store displays a list of permissions when you install the extension. Here is what each permission is used for:

  • Read and change data on realestate.com.au, domain.com.au, retainproperty.com.au — to inject the due-diligence panel on property listing pages, to extract listing details when you click Run Due Diligence Check, and to read your licence key from the activation page.
  • Storage — to remember your licence key and per-listing overrides.
  • Active tab — to know which page you’re on so the panel only loads on supported listing pages.

The extension does NOT request permissions for any other website. It will not run on, read, or interact with any tab outside the three domains listed above.

11. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top reflects the most recent change. Material changes will be notified to active users via email at least 14 days before they take effect.
